Overview
Kokulan Physics ("the app", "we") is a mobile learning app for Advanced Level Physics students in Sri Lanka. This policy explains what information the app collects, how it is used, and the choices you have. By creating an account you agree to this policy.
Information we collect
Information you provide at registration
- Full name — shown to your teacher and used for certificates.
- Email address and password — used to sign you in (passwords are handled by Firebase Authentication; we never see or store them in readable form).
- Phone number — used by your teacher to contact you and verify your account.
- Batch (exam year) and district — used to place you in the right classes.
Information collected automatically
- Device identifier and device name — each account is linked to one device to prevent account sharing.
- Push notification tokens — so we can send you class announcements and approval notifications (Firebase Cloud Messaging).
Information stored only on your device
- Video watch progress, personal lesson notes and bookmarks are stored locally on your phone and are not uploaded to our servers.
How we use your information
- To create and approve your student account.
- To control access to class videos based on the groups your teacher assigns you to.
- To send notifications about new videos, class access and announcements (you can turn these off in Profile → Settings).
- To enforce the one-account-per-device policy.
We do not sell your data, show ads, or share your information with third parties for marketing.
Third-party services
The app is built on Google Firebase (Authentication, Cloud Firestore, Cloud Messaging, Remote Config), which processes data on our behalf — see the Firebase privacy documentation. Video lessons are streamed from YouTube; when you play a video, YouTube's privacy policy applies.
Data retention & deletion
Your data is kept while your account is active. You can permanently delete your account and all associated server-side data at any time in the app (Profile → Delete account) or by contacting us — see the account deletion page. Deletion requests made by contact are completed within 7 days.
Children's privacy
The app is intended for Advanced Level students (typically 16+). Registration is teacher-approved: accounts are only activated after the teacher verifies the student. If you believe a child's data was collected in error, contact us and we will delete it.
Security
Data is stored in Google Firebase with access controlled by server-side security rules — students can only read their own profile, and only teachers (admins) can manage accounts and content. Data is encrypted in transit.
Changes to this policy
We may update this policy from time to time. Material changes will be announced in the app, and the "Last updated" date above always reflects the current version.
